In these terms, “we” means Alexander Adventures Limited. “You” means the person making the booking and / or named traveller as appropriate.
Booking Process
When you make a booking through our website, you will have the opportunity to thoroughly review all booking details before making a payment. Once you have reviewed these details and made payment, we will proceed to confirm the booking. It is crucial that you verify the accuracy of all names, dates, and timings upon receiving your documents and notify us promptly of any errors. Furthermore, ensure that the names provided match those in your relevant passport. We cannot accept responsibility for errors in documentation unless the error originates from us. You are responsible for ensuring your passport is valid and you meet all other entry requirements for the trip.
The booking information you provide will be shared only with the pertinent Supplier/Principal and other necessary parties responsible for delivering your trip. This information may be disclosed to public authorities, such as customs or immigration, if mandated, or as required by law. This includes any sensitive information you provide, such as details of disabilities, dietary requirements, or religious considerations. By making this booking, you consent to the sharing of this information with the relevant parties. Some information may also be shared with security or credit-checking entities. For travel to the United States, the US Customs and Border Protection will receive this information to combat terrorism and transnational crimes. In cases where we are unable to share this information with the relevant suppliers, whether in the European Economic Area (EEA) or elsewhere, we will be unable to process your booking.
Payment
To secure your chosen trip, a non-refundable deposit is required at the time of booking (or full payment if booking within 12 weeks before departure). If a deposit has been paid, the full balance must be settled by the 12 week date. Failure to make full payment by this date may result in your booking being cancelled.
Information Accuracy
While we make every effort to ensure the accuracy of information and prices on our website and in any promotional materials, changes and errors can occasionally occur. Therefore, we reserve the right to correct prices and other details under such circumstances. You should verify the current price and all other details related to the trip you wish to book before confirming your reservation.
Price Adjustments
We retain the right to modify advertised prices at any time and correct errors in both advertised and confirmed prices. It is essential to confirm the price of your chosen trip at the time of booking.
Travel Insurance
For international travel, you are obligated to obtain suitable travel insurance as a condition of booking. Failure to do so may result in your inability to participate in the trip. Due to the nature of some activities, your trip may be cancelled unless you have provided evidence of suitable insurance prior to the departure date.
Your insurance must encompass adequate coverage for overseas medical treatment, evacuation/repatriation, and the specific activities in your itinerary. We highly recommend securing a policy that includes personal liability, cancellation coverage, and protection in the event you are unable to join your trip due to illness, injury, curtailment, or loss of luggage or personal belongings.
For domestic travel, when traveling within your home country or region, it is important to confirm that you can easily access the local medical system in the event of an accident. Nonetheless, we strongly advise obtaining travel insurance that includes cancellation coverage, in case you are unable to join your trip due to illness or injury. If you decide to travel without adequate insurance or are unable to travel, we will not be liable for losses that would otherwise have been covered by insurance.
Special Requests
Any special requests must be communicated to us in writing at the time of booking. However, we cannot guarantee that these requests will be fulfilled. The acknowledgment of a special request on your booking or any other document, does not guarantee that the request will be accommodated.
Fitness and Medical Conditions
Although we are not a specialist disabled holiday company, we will make every effort to cater to any special requirements you or your party may have. If you or any member of your group has a medical issue or disability that could impact your trip, it is crucial to provide us with comprehensive details before we confirm your booking. This will enable us to offer guidance on the suitability of your selected trip. We may request a doctor’s certificate to certify your fitness to participate in your chosen tour. If we are unable to adequately accommodate the needs of the person(s) concerned, we will either decline to confirm your booking or, if full details were not provided at the time of booking, we may cancel the booking and apply applicable cancellation charges once these details are known.
Changes and Cancellations by You
All cancellations must be emailed to [email protected]. It is essential to receive written confirmation of any changes to your booking before your trip. While we will make every effort to assist, we cannot guarantee that we will be able to fulfill such requests. Amendments and cancellations are only accepted in accordance with these terms and conditions. Cancellation or amendment charges may be imposed as below. Deposits will not be refunded in any circumstances.
Cancellation more than 12 weeks before departure: any payments in excess of the specified deposit amount will be refunded, or may be transferred to another trip departing within 12 months.
Cancellations less than 12 weeks before departure: no refunds are due. It may be possible to transfer any payments in excess of the deposit amount to another trip departing within 12 months.
Any changes to a booking, for example a change of guest, will incur an administration charge of £50.
Changes and Cancellations by us
We will notify you as soon as reasonably possible if we need to make significant changes to your confirmed trip or cancel the trip. If we cancel your trip for any reason, you are entitled to either a full refund, the option to reschedule to an alternative date, or the conversion of your payment into account credit. The decision to convert your booking into account credit is final and a cash refund cannot be requested at a later date.
Flights
You are responsible for booking your own flights as the trip generally starts at the overseas airport. Please note that as trip dates are subject to amendment, we recommend that you do not purchase non-refundable or non-amendable flights. In the event that the trip dates are changed, we are not liable for any additional costs you incur to change or rebook flights.
